Translate Customer Support Emails Locally on Windows

A customer asks about an order in Spanish. You know the answer in English, but need to preserve the order reference, date and tone in your reply. Short text translation can fit this task better than processing a whole document.
Iria translates selectable text on Windows with local processing. This guide describes a review workflow for emails and support tickets. Iria does not look up the order, decide a refund or send the message for you.
1. Separate the question from the customer history
Select the question you need to understand. Avoid copying the entire thread, repeated signatures or unrelated attachments. Keep the order reference and facts checked in your business system available separately.
Iria works with selectable text. Screenshots, scanned PDFs and text embedded in images need a separate extraction step. This workflow does not provide OCR or preserve complete document layouts.
2. Translate the question and write a specific answer
Copy the same text twice within 1.1 seconds to open Iria. Check the source and destination languages. Published languages include Spanish, English, French, German, Italian, Portuguese and Dutch.
Once you understand the question, write an answer using verified information. This example is fictional:
We have received your question about order AB-1042. The expected dispatch date is 18 October. We will send tracking information when the carrier confirms collection.
Translating this answer does not turn an estimate into a guarantee. Check that the output keeps the date provisional and does not add a commitment you have not authorized.
3. Check details that fluent wording can hide
Compare the source and translation before pasting:
| Detail | Check |
|---|---|
| Reference | The identifier AB-1042 remains unchanged. |
| Date | The day and month retain their original meaning. |
| Amount | Currency, decimal values and conditions stay correct. |
| Status | “Expected” has not become “confirmed.” |
| Next action | The reader can tell who will do what and when. |
Fluency does not establish accuracy. When a complaint depends on subtle wording, have someone proficient in the language review the response before sending it. A translated reply should not make commercial decisions automatically.
4. Paste into a draft and check the recipient
You can copy the result and paste it manually into the email or ticket. Iria’s Replace action copies the translation and sends Ctrl+V to the focused application; it does not verify or restore the original selection. For a customer reply, check the destination field and the pasted text before sending.
Also check the recipient, subject, links and attachments in your email application. Local translation does not remove this review step.
What you need for this workflow
Iria is a paid Windows product. Check its current license and downloads before buying. Text translation runs on your PC, while activation, license checks, model downloads and updates use the internet. Your email service processes messages separately: local translation does not mean the entire email stays on your computer.
For repeated short replies, see the Windows clipboard translation guide. Spoken audio in a call needs a different workflow; this guide covers text only.
